Adding and Inviting Employees in Cinode

How to create user accounts, assign roles, and send welcome emails

Ways to Add and Invite an Employee

You can add a new employee in several ways:

  • Use the Quick Add button in the top-right corner.

  • Select Invite a colleague from the menu.

  • Go to Administration > Users > +.

Once you’ve chosen a method:

  1. Fill in the required information (see details below).

  2. Choose whether to send a welcome email immediately, or uncheck the box and save to send it later.

    • You can resend the welcome email at any time from Administration > Employees by clicking the three dots next to the employee and selecting Send welcome email.

Next, assign the employee’s permission level (role).

💡 Tip: If the employee has not yet started, you can create the account now and send the invitation later.


Employee Details

When adding a new employee, you’ll need to provide or confirm the following details:

  • First name / Last name – Editable by you or the employee.

  • Email address (Username) – Used as the login credential. Only administrators can change this.

  • Title/Role – Displayed on the employee card in the Organisation feature and on the Employee Overview page.

  • Phone number – Editable by you or the employee.

  • Office location – Used across several features and as a filter option.

  • Employment date – Used in the Company – Employment report.

  • End date – Marks the end of employment in Planner views. To fully disconnect an employee, change their statusto Disconnected.

  • Employment number – Optional.

  • Gender – Used in Company – Gender balance and Upcoming birthdays reports. Editable by you or the employee.

  • Currency – Currency linked to the employee.

  • Status – Defines the employee’s current state. [Read more about statuses here.]

  • Date of birth – Used in the Company – Age distribution report. Editable by you or the employee.

  • Company Calendar – Defines bank holidays and working hours.

  • Base salary – Optional.

  • Tax table – Optional.

  • Provision % – Optional.

  • Invoicing target – Optional.

  • Target rate/hour – Used in Planner – List to compare employee rates with assignment roles in Talent Business.

  • Self cost/hour – Used for margin calculations in Talent Business.

  • Mobility (days per week) – Displayed in the Employee Overview.

  • Employment rate % – Used for utilisation rate calculations.

  • Available from date – Optional.


Editing User Details

Administrators can edit employee details at any time.

Changing a Password

  • Employees can reset their password via Forgot password on the login page.

  • Administrators can also reset an employee’s password.

  • Passwords must contain at least five characters.

  • If you tick The user must change the password at login, the employee will be prompted to set a new one on their next login.


Inviting Multiple Users

You can invite several colleagues at once with a single action.


Welcome Email

When creating a user, you can choose whether to send a welcome email.

  • Tick Would you like us to send a welcome email to send it immediately.

  • The email link is valid for 24 hours. If expired, the employee will be prompted to reset their password.

  • You can resend the welcome email from Administration > Employees at any time.


Creating an Account Without a Welcome Email

If you do not send the welcome email, you must manually provide the user with:

  • Their username (email address used in Cinode)

  • Their password (automatically generated when the account is created)

  • Your company’s unique login URL (the same link you use to log in)
