You need permission level Partner Manager and Partner version in Cinode to manage subcontractors.

Adding a subcontractor means that you will be able to:

  • Create a profile for your subcontractor

  • Create resumes for your subcontractors branded with your company's templates

  • Add events to the subcontractor meant for internal communication such as meeting notes, tasks and general notes.

Add a subcontractor

  1. Navigate to the subcontractor's list by clicking the Partner > Subcontractors tab in the left side menu.

  2. Click the '+' button next to subcontractors.

3. Fill in the information and click 'Save'.

Below we will highlight which are the basic fields to fill in. The more content you add, the more you will benefit when managing your subcontractors:

  1. Enter the subcontractor's e-mail address, name and title. The e-mail address will also be used as the user's username when logging in to their Cinode account for adding or updating information.

  2. We also suggest that you enter the subcontractor's tariff per hour (rate) as it can be used to compare the rate that you are willing to offer for a particular assignment with the subcontractor's requested rate. This gives you an insight if it is beneficial to hire a specific subcontractor for an assignment, as the rate is shown in the matching view when the role is about to be added.

  3. Select a temporary password for the subcontractor's Cinode account. This will allow them to log in to Cinode and update their details such as their profile or resumes.

  4. Set the system language. This will define what languages menus and tooltips will be displayed in.

  5. Make sure that 'Create a profile' is toggled green. Also, choose the primary profile language for the subcontractor. The primary profile language is the language which the subcontractor will primarily use to create his or her Cinode profile. If you are primarily creating profiles in English, then English would most likely be the primary profile language.

Note: Cinode will not send out an automatic invitation, thus you will have to manually communicate the login URL (the same as your company's login URL), the username (subcontractor's email as registered in Cinode) and the password that you just set when you created the subcontractor.

If you forgot the password, no worries - the subcontractor can always request a new password for the subcontractor by going to the login URL and selecting the 'Forgot password' link.

Invite sent to Subcontractor via email

When you choose to send a welcome email to a subcontractor it looks like below example:

Overview of subcontractors

1. General information: Displays information such as name, email address (login address), phone number, and tariff. Clicking the more menu will allow you to edit these settings. You can also remove the subcontractor's user from this menu. Before proceeding with the removal, please read this article.

2) Subcontractor tags: Use tags to filter out specific subcontractors in the various list views. Tags are also used in the search (Search -> Tag search in the left side menu).

This means that you will be able to filter out users with that specific tag.

There are no limits to what type of tags can be used.

Note: Tags are not the same as skills. Tags are only visible in-app to help you identify subcontractors internally - for instance by geographical location or industry. A tag search can only be performed in the subcontractor list.

3) Overview: The first tab is "Overview". The overview page is divided into four sections:

- Current events: Create new events or see all events in the near future, such as phone calls, meetings, and notes related to the subcontractor.

- Created resumes: All resumes belonging to this user are displayed here. By clicking on the name of the resume, you are able to preview it. Click the More menu (three dots) to the right of a specific resume to edit and view more options.

- Current roles: This allows you to see which roles your subcontractors are definitely or preliminary booked on.

- Availability: Subcontractor availability consists of a coherent time period that specifies that the user is available as well as the availability in %.

Other tabs: "Events", "Roles", "Profile", "Images" and "Attachments & links"

- Events: Lists all events (past, present, and upcoming). You can use filters to select which events to view.

- Roles: Lists all roles (past, present, and upcoming). You can use filters to select which roles to view.

- Profile: Gives you access to the subcontractor's profile which is the basis for creating resumes and search on the user's skills.

- Images: Upload and manage images/photos for your subcontractor.

- Attachments & Links: Upload files or web links such as an agreement or other relevant documents.

What can the subcontractor see and do in Cinode?

To read and understand more about the account of the subcontractor and what the subcontractor is able to do and see in Cinode.

Convert a subcontractor to an employee

You can convert your subcontractor to an employee by simply clicking on Convert at the top right of the overview. Once you have converted the subcontractor, you will not find the employee under subcontractors. You will then need to go to Organisation > Employees and search for the person.

Remove a Subcontractor

Note: Removing a subcontractor means that all information related to that user will be deleted from your company's Cinode account, including profile, resumes, events, attachments as well as all role bookings (past, ongoing and upcoming). You will not be able to restore a deleted subcontractor.

Steps on how to remove a subcontractor:

  1. Navigate to the subcontractor list located under Partners -> Subcontractors in the navigation menu.

  2. Use the filter search above the list to identify the specific subcontractor that you wish to delete.

  3. Click the three dots button to the right of the subcontractor's name to view more options.

  4. Select "Remove"

  5. To confirm the deletion, type the subcontractor's first and last name exactly as it is registered in Cinode.
