Project pipeline workflows and how to create your pipeline

Learn how to create project pipeline and how to work with the pipelines.

With a project pipeline, you can work by your internal workflows and visualise your sales processes to simplify the everyday working life for your recruiters. A project pipeline is the same as your project process.

You can work with one or several pipelines. A reason for working with several pipelines is to separate sales processes within different business areas, various locations or different stages within the sales process.

Use the filter to select the pipeline you want to view.


How to understand the pipe view

A Pipeline is how to define the process from a Lead to a Won assignment. It contains the stages throughout the sales process. To move a project between stages in the pipe you can drag and drop;

By hovering over the i-icon, you see project details.

To see more information about each step in the Pipe feature, simply hover your mouse over the pipeline headlines to get additional information.

At each step of the project, there is information available about the estimated values. If this information is added to the "Estimated Value" field, it will be included in the calculations for the weighted value. The weighted value is calculated by multiplying the total estimated value by the probability percentage for the pipeline or the actual project. If you specify a probability for a project, it will be incorporated into the value calculation at this step.

The information that is shown:

  • The describing text can be used in Pipe through Administration, such as checklists, instructions to the seller of what needs to be met in this step, and what qualifies a project for the next step in the pipeline.

  • A summary of the estimated values and the weighted values put in the projects.

  • A graphic feature based on the estimated value of the projects. Salesmen can use this to understand what assignment is the most valuable. If you have given an expected completion date you will see this on the assignment card to the left. If this date is passed it will show in red to show that actions need to be taken. To the right in the card, you will see when the project was last updated or changed which will give you a heads up on assignments that haven't been managed in a while.


Use shortcuts to improve efficiency in pipe view πŸš€

When working in the pipe view you can click on the three dots at the project and choose to add an event, edit, edit tags, duplicate, change customer, move role dates and remove without going into the project page.


How to Create a Project Pipeline

1. Go to Administration > Process in the menu and the tab Pipelines > Projects

2. Click on + to create a new pipeline

3. Add a title to your pipeline and click 'Save'

4. Click on 'Create stage' to start creating steps in your pipeline

5. Type in a title for the stage and a probability.

  • The name of the stage will be visible to the user.
    ​

  • The description of the stage will be visible when hovering the stage in the pipe view within the Project function. The description will clarify for the user what this stage means or can be a list of activities to achieve in this stage.

  • Probability is symbolize the probability that you will win the deal at this stage. It is important to calculate a weighted estimated value for the stage since this is the base for calculating preliminary utilization rates.

6. Click on the + to create another step

7. Click on the pen to edit a step

To change the process stage order, use the drag & drop functionality, and move a step back or forth.

Click on the three dots to the right to remove a pipeline


How to work with the pipeline when integrating Cinode with another CRM
