Create a candidate pipeline

Define and manage your recruitment stages

A candidate pipeline lets you structure and visualise how candidates move through your recruitment process – from first contact to placement or rejection. By defining clear stages, you create a shared understanding of the process, improve transparency, and make it easier to follow up and report on recruitment activities.

To create and manage candidate pipelines, you need Administrator permissions.

A candidate pipeline represents the steps a candidate goes through during a recruitment process. Each stage reflects a specific status, such as screening, interview, or offer. Using a pipeline ensures that recruiters work consistently, that candidate status is always clear, and that data can be used reliably for reporting and integrations.


Create a Candidate pipeline

  1. Go to Administration > Process > Pipelines.

  2. Select Candidates.

  3. Click + New pipeline.

  4. Enter a Title that clearly describes the purpose of the pipeline.

  5. Click Save.

The pipeline is now created and ready for stages to be added.


Add stages to the pipeline

Stages define how candidates progress through the recruitment process.

  1. Click Create stage.

  2. Enter a Title for the stage. This is what users will see in the candidate view.

  3. Add a Description to clarify what the stage represents or what actions are expected. The description is shown on hover.

  4. Click Save.

  5. Add additional stages as needed using the + button.

  6. Drag and drop stages to arrange them in the correct order.

  7. To update a stage, click the edit (pen) icon next to it.


View pipeline ID for integrations

If you need the pipeline ID for integrations or API usage, you can view it directly in the interface:

  1. Go to Administration > Process > Pipelines > Candidates.

  2. Click the three dots to the right of the pipeline.

  3. Select Show integrations IDs.

The system will display the pipeline’s ID, making it easier to reference in integrations or external systems.


Edit or delete a pipeline

  • Update stage names or descriptions using the edit (pen) icon.

  • Reorder stages by dragging them into the correct sequence.

Delete a pipeline

  1. Click the three dots to the right of the pipeline.

  2. Select Remove.

  3. Make sure that no candidates are currently using the pipeline before deleting it.


Use the pipeline in recruitment

Once the pipeline is created, it becomes available when working with candidates. Recruiters can move candidates between stages as they progress, ensuring that the current status is always up to date and visible to the team.


Best practices

  • Use clear and consistent stage names to avoid misunderstandings.

  • Keep the number of stages manageable to maintain a clear overview.

  • Review pipelines regularly to ensure they still reflect your recruitment process.
