Certification Settings
Only users with Admin permissions can manage the Certifications Catalog in your company's instance. The Certification Management add-on is also required.
Administration > Process > Certifications or courses
To add a new certification or courses, click +.
To update an existing one, click the three dots.
Company Catalog
Under the Company Certification (courses) tab, you can view and manage your company's certifications or courses. You can also see:
Total number of users in the organization with the certification
Target number of users requiring the certification
Target date to achieve the desired number of certified users
User Certifications or courses
Under the User Certifications or courses tab, you can view and manage your company's certifications. You can also merge certifications into a new certification or an already existing one.
Use the buttons in the bottom or the icons to the right.
Add a Certification or course to Your Profile
Navigate to Home > Profile or directly access a CV.
Use the table of contents to find Courses & Certifications.
Click + to add a new certification.
Select from the list, which is generated based on the company catalog
or
Enter free text and then click +
Control Suggested Certifications in User Profiles and CVs
Enable or disable company-approved certification suggestions across profiles and CV updates.
As an Admin, you can manage which certifications are suggested to users when they update their profiles or CVs. By toggling the Only suggest company-approved certifications setting, you ensure consistency across your organisation's certification records.
How it works with suggested certification or courses
When enabled, users will only see certifications from the company-approved certification catalogue when:
Adding or editing certifications in the Certifications and Courses block of their profile
Adding or editing certifications in a CV
Users can still manually enter certifications not listed in the catalogue. However, those manually added certifications will remain private and will not be visible to others unless added to the company catalogue by an Admin.
Toggling the "only suggested company-approved certifications"
Go to Administration > Process > Certifications.
Locate the toggle for Only suggest company-approved certifications in the upper right-hand section.
Click the toggle to enable or disable the setting.
Tips & Tricks
To maintain data quality and alignment across your organisation, it's recommended to keep this setting enabled and regularly update the company certification catalogue.
Certification and courses Report
Viewing and Managing Certifications or courses in Reports
Go to Reports > Competences > Certifications or courses tab.
The Reports section provides an overview of all certifications added to employee profiles in your organization. You can see:
All certifications and their associated employees.
The year certifications were obtained.
Options to export the report.
Clicking on a certification reveals additional details, such as expiration date, issuer, and code.
Choose between the company or courses certifications or others
Using the Filter Function
Search by Certificate: Identify employees with a specific certification.
Search by Employee: View all certifications an employee holds.
Filter by Teams: See certifications within a specific team.
Search by Year: Find certificates by the year obtained or check expiration status.
Export: Download the report as an Excel file.
Employee Profile: Click an employee's name to access their profile.
By filtering by a specific period, you can view certifications expiring within that timeframe. For example, the table below shows that within one year:
3 users hold the Scrum Master Certificate.
1 certificate is active.
1 certificate will expire during the year.
1 certificate has already expired.
