What are Tag Types and best practices for working with them

Tags and Tag Types make it easier to organize, search, and filter information in Cinode — whether you’re managing customers, projects, contacts, subcontractors, or employees.

By setting up Tag Types, you can group related tags to make your searches and reports more precise and efficient.


What are Tag Types?

Tag Types are categories that help you structure your tags.

For example, you can create a Tag Type called Industries and then connect industry tags such as:

  • Banking & Finance

  • Advertising, Media & Arts

  • Healthcare

Once connected, you can easily filter your lists — for example, see all customers tagged with an industry.


How to manage Tag Types

  1. Go to Administration > Process in the sidebar

  2. Click on the tab Tags

  3. Click on the tab Types

  4. Click on the '+' to create a new type

5. Fill in the name of the type you wish to create and click Add.

6. Go back to the tab Tags to connect all your tags to a specific tag.

7. Click on the pen at 'select type' next to the tag.

8. You will now find all your created types and can select which type to connect to the tag.

Best Practices for using Tag Types and Tags

Our customers use Tag Types and Tags in different ways depending on their workflows, size, and goals. However, some approaches are consistently effective and provide great value across organizations.

Here are some common best practices and examples of how to structure your tags for clarity, consistency, and efficiency:

Customer List

Use tags to segment your customer base for better follow-up, prioritization, and reporting:

  • Priority: Identify your top accounts with tags such as A, B, or C Customer.

  • Customer Type: Differentiate between Prospect or Lead for more targeted communication.

  • Industry: Tag customers by industry to quickly filter and analyze market segments.


Contacts

Streamline your communication and stakeholder mapping:

  • Stakeholder Mapping: Use clear role-based tags like CEO, CFO, Stakeholder, Partner Manager.

  • Newsletters / Invitations: Tag contacts who should receive newsletters, event invites, or specific announcements.


Assignments

Improve visibility and control in your business processes:

  • Payment Terms: Add standardized tags like BV=20, BV=30, or BV=60 to manage and track contract conditions.

  • Industry: Quickly filter and analyze assignments by industry for trend insights or reporting.


Employees

Tags help you manage your team and match the right people to the right opportunities:

  • Work Mode: Tag employees as Remote, Onsite, or Hybrid.

  • Availability for Travel: Use Travel-ready or similar tags for easier planning.

  • Virtual Teams: Mark employees belonging to specific virtual teams such as AI, Specific Client, or project groups.

  • Seniority: Add tags like Junior, Mid-level, or Senior.

  • Primary Competence Area: Clearly define main skills like Java Developer, .NET Developer, or UX Designer to improve matching and searchability.

Tips for Success

  • Keep tags consistent: Decide on a naming convention and make sure everyone uses the same terms.

  • Review and clean regularly: Archive outdated tags to keep your database clean and relevant.

  • Use Tag Types strategically: Group tags into logical categories so your team can filter and find information faster.

  • Train your team: Make sure everyone understands how and why tags are used to maintain quality across the organization.
