Why is my employee/user not is visible/shown in the planner/forecast?

For you employees to visable in the forecast you need to pay attention to the parameters set on the employees.

Parameters for the employees to be visable in the forecast:

An employee must have

  • the "user" permission

  • an employment rate

  • been added to a team with a team extent

  • have the status "active"

  • have a date set in the "available from" field

    Read about the setting below

The employee should not have:

  • a past end date

  • the permission "restricted user"

  • the status "preactive"

A common issue for not beeing visable in the forecast:

A user must belong to a team in order for the role to be displayed in the Planner. A team member might have been added to a team and be visible in the organisation view and in the Planner, but if the employee did not belong to a team at the time the user was booked on a role, then you will need to go to the specific role to add the team

How to add a team to a role:

  1. Go to Project -> List/Pipe/delivery in the menu and open the project and the role.

  2. In the overview of the role you can click the three dots and click "edit"

  3. Here you will view a drop down menu of the teams that the employee belongs to. Choose the team and click save.

To view the criterias to be visible in the forest;

1. Go to Administration -> User in the menu and the tab "Employee".

2. Search for the employee and click on the three dots to the far right and "Edit"

3. The employee must have the permission rights "User" or "Restricted user"-If not click the pen and set the permission level.


3. Status - The Status needs to be "Active" If it says Preactive then the employee has not started yet and will not be visible in the forecast.
2. Available from – If the field is empty it means the employee has already started and is available.- If it´s a date that has not come yet the Individuals will not be considered available before this date.
3. End date – If the field is empty it means that the employee does not have an end date and should be visible in the forecast. - individuals will not be considered available after this date.

4. Employment rate % - The employee should have an employment rate, if not - set an employment rate.


5. Go to Adminstration -> Company in the menu and the tab "Team" and click on the team you would like to see. For example "Project Managers"

6. To the right you will view the extent. If the right extent is not set, check the box of the team member and click "edit extent".

7. Set the extent and click save. in this case 100%. You can distribute the extent of the employee between two teams, or in case the employee does not work full time you might add a lower extent. Example: If the employment level is at 100% and Team extent % is at 80%, it means that the calculated availability is 80% for the team.
