Managing Subcontractors

How to add, manage, and collaborate with subcontractors in Cinode

To manage subcontractors, you need:

  • Permission level: Partner Manager

  • Cinode module: Partner


Adding Subcontractors

When you add a subcontractor, their Cinode account is created automatically. You can either:

  • Send a welcome email so they can update their own profile.

  • Manage the profile directly without sending an invitation.

Steps to Add a Subcontractor

  1. Go to Partners > Subcontractors in the left-hand menu.

  2. Click the ‘+’ button.

  3. Enter the required details and select Save.

Recommended fields to complete:

  • Email address – used as both contact information and login username.

  • Name and title.

  • Tariff per hour (rate) – helps compare subcontractor rates with your offered rate in the matching view.

  • Temporary password – allows the subcontractor to log in and update their details.

  • System language – defines menus and tooltips.

  • Profile settings – ensure “Create a profile” is enabled and choose the subcontractor’s primary profile language.

Note: Cinode does not send login details automatically. If no invitation is sent, you must manually share the login URL, username, and password with the subcontractor. They can reset their password via the Forgot password link on the login page.


Subcontractor Profiles

Subcontractors can update their profiles with:

  • Assignments and skills

  • Availability

  • Responses to role requests

As a manager, you can:

  • View bookings and availability

  • Match subcontractors to roles

  • Create CVs using your company’s templates

  • Add internal events (e.g. meeting notes, tasks, general notes)

  • Upload images, attachments, or agreements


Managing and Viewing Subcontractors

Overview Tab

Provides a summary of:

  • General information – name, email, phone, tariff.

  • Current events – meetings, calls, notes.

  • Resumes – preview, edit, and manage all CVs.

  • Current roles – confirmed and preliminary bookings.

  • Availability – time periods and availability percentage.

Other Tabs

  • Events – all past, current, and upcoming events.

  • Roles – all past, current, and upcoming roles.

  • Profile – subcontractor profile data used for resumes and skill searches.

  • Images – upload and manage profile photos.

  • Attachments & Links – upload contracts, files, or relevant web links.

Tags

Use tags for internal filtering and organisation (e.g. by geography or industry). Tags are not the same as skills and are only visible inside Cinode.


Matching and Assignments

  • Match subcontractors to roles under the Matching tab of a role.

  • Assign roles to subcontractors in the same way as employees.

  • View assignments in Planner > Timeline > Subcontractor view.


Converting Subcontractors to Employees

You can convert a subcontractor to an employee:

  1. Go to the subcontractor’s Overview page.

  2. Click Convert (top right).

  3. The person will then be listed under Organisation > Employees instead of subcontractors.


Removing a Subcontractor

Warning: Removing a subcontractor permanently deletes their profile, resumes, events, attachments, and all role bookings (past, ongoing, and future). This action cannot be undone.

  1. Go to Partners > Subcontractors.

  2. Use the filter to find the subcontractor.

  3. Click the three dots next to their name.

  4. Select Remove.

  5. Confirm by typing the subcontractor’s full name exactly as registered in Cinode.
