This article lists every alert type the Cinode Chat Agent can post for you in Slack or Microsoft Teams. For each type you can see what it watches, who can set it up, and whether it arrives as a scheduled digest, as a live ping, or both. To set one up, see Chat Agent: Create and manage alerts.
You do not need to remember the names. Ask "What can you alert me about?" and the Chat Agent lists only the alert types you are allowed to use, grouped by topic.
How to read this article
The tables use these terms:
Digest is a scheduled message that lists everything that matches at that moment. It is sent only when something matches.
Live is a message sent as soon as the change happens in Cinode, with no schedule. For new roles and for absences, the Chat Agent waits about 2 minutes first, so repeated edits to the same record become one message.
Me means data about you, Team means the teams you manage (or any team, for a company manager), Customers means the customers you manage, and Company means the whole company.
A company manager is a user with the Cinode access level Company manager or higher. Company scope always needs a company manager, except for Release notes, which any user can use. A team manager can use Team scope for the teams they manage, and a customer manager can use Customers scope for the customers they manage. The Chat Agent only offers the types and scopes your Cinode permissions allow, and checks this again every time an alert is delivered.
Note: Most digest cards show the first 5 entries and link to Cinode for the rest. Some alerts use their own limits, which are stated below. Scheduled alerts stay silent when nothing matches. The one exception is Team utilisation in summary mode.
Staffing and roles
Staffing alerts show who is coming free, which roles are open and how booked your people are. The table covers every alert in this group.
Alert | What it tells you | Scope | Delivery |
Expiring roles | Staffed roles that are currently ongoing and end within the next days. Default 14 days, up to 365. | Me, Team, Company | Digest |
Upcoming roles | Staffed roles that start within the next days. Default 30 days, up to 365. | Me, Team, Company | Digest |
Role watch | A flexible role digest. You choose any mix of assignment status, staffed or unstaffed, booking firmness, project state, pipeline, stage, customer, a free-text search and a start or end date window. | Me, Team, Company | Digest |
Unstaffed project roles | Open demand: project roles with nobody booked, soonest start first. Roles that have already ended are left out. Default is open projects. | Customers, Company | Digest |
New roles created | A ping when a project role is created, including roles that the Inbound integration creates from incoming emails. The card can include a "Best matches" list of free employees. | Team, Company | Live |
Role satisfaction updates | A ping when a consultant grades their role, with the grade and comment. Optionally only when they say they want to change role. | Team, Company | Live |
Low role satisfaction | A roll-up of booked consultants who want to change role or graded their role at or below a level you choose, unhappiest first. | Team, Company | Digest |
Staffing recommendations | Open unstaffed roles paired with the free employees who fit best, by skill match and availability. A role with no required skills gets no suggestions. | Company only | Digest |
Team utilisation | How booked people are in one future week. See the settings below. | Team, Company | Digest |
Availability openings | People whose current booking ends within the window with nothing booked after it. Default window 30 days, up to 180. | Me, Team, Company | Digest |
Members without roles | Employees who have no current role, grouped by team. This is the bench. Someone with only preliminary bookings is still listed. | Team, Company | Digest |
Role assignment changes | A ping when a team member is booked onto or taken off a project role. | Team, Company | Live |
Settings you can ask for in staffing alerts
Expiring roles and Upcoming roles: which kinds of people to include (employees by default, plus subcontractors or partners if you ask), and whether to list only roles with no prospect lined up.
Location filter: Expiring roles, Upcoming roles, Role watch, New roles created and Project pipeline can be limited to a place plus a radius. Give up to 25 places and a radius, 50 km by default and 2,000 km at most. Items without coordinates are left out.
Team utilisation: choose "below a limit" (default 70 percent, lists the least booked first), "above a limit" (default 100 percent, lists overbooked people first) or "summary" (a per-team average). You can include preliminary bookings, and choose the week with 0 for this week up to 8 weeks ahead. The default is next week. It covers future weeks only and never shows revenue.
Availability openings: choose how soon a follow-on booking must start to count as continued work (default 14 days) and whether a preliminary booking counts.
New roles created: filter by pipeline, stage, customer, team or sales manager, choose which details to show, and set the best-match list. It shows up to 5 matches by default, up to 10, with a minimum match score of 20 percent. A company manager sees matches company-wide, and others see matches within the teams they cover. If the role lists no skills yet, the Chat Agent waits one more cycle and then shows "No matches yet".
Staffing recommendations: choose the window (default 30 days, up to 180), the number of candidates per role (default 3, up to 10) and the number of roles (default 15, up to 50).
People
People alerts cover celebrations, absences and changes to who works where.
Alert | What it tells you | Scope | Delivery |
Employee birthdays | Who has a birthday. Only the day and month are shown, never the year or age. | Team, Company | Digest |
Work anniversaries | Who has a work anniversary, with name and years of service only. | Team, Company | Digest |
Team absences | Who is away in the coming days, or a ping when an absence is booked or cancelled. | Me, Team, Company | Digest or live |
Employment changes | Who joins or leaves the company, or a ping when a new employee is added or a leaving date is set. | Team, Company | Digest or live |
Team membership changes | A ping when someone joins or leaves a team in Cinode. This is separate from joining or leaving the company. | Team, Company | Live |
Settings you can ask for in people alerts
Birthdays and anniversaries: a heads-up of 1 to 7 days before (the default is on the day), a filter to one or more offices, an @-mention of the people celebrating so they are notified (off by default, and a person with no chat account gets a profile link instead), and your own headline of up to 280 characters. Use
{names}for the people,{count}for how many and{days}for the days ahead. For anniversaries you can also pick milestone years, such as 1, 5 and 10. A birthday on 29 February is greeted on 28 February in other years. The alert posts once per celebrated day.Team absences: a window of 1 to 60 days (default 7), whether to include today, and an office filter. The absence type, such as sick leave or parental leave, is hidden by default because it is health and family information. Ask for it explicitly to show it. A live absence alert ignores every setting except this one.
Employment changes: choose starting, leaving or both, how many days ahead (default 14, up to 90) and back (default 7, up to 30), and an office filter. A live subscription pings for every joiner and leaver and ignores these settings. A brand-new employee often has no team yet, so a team-based live alert may only see them once they are in a team.
Team membership changes and Role assignment changes: the first change after you subscribe may be missed. Cinode has no event for these, so the Chat Agent compares against what it saw before, and the first time it sees a team or role it only records the starting point.
Tasks
Task alerts keep due dates from slipping.
Alert | What it tells you | Scope | Delivery |
Expiring tasks | Tasks that are not started or in progress and come due within the window. Default 7 days, up to 365. You can include overdue tasks, looking back 30 days by default and up to 90. | Me, Team, Company | Digest |
The task digest is interactive. Each task has Done and Snooze buttons, and the card footer lets the person who set it up mute it for 1 day, 1 week or 1 month, or pause it until they resume it. This alert is separate from the personal task pings described in Chat Agent: Reminders and proactive messages.
Profiles and CVs
Profile alerts catch lapsed information before it causes trouble in a proposal or an audit.
Alert | What it tells you | Scope | Delivery |
Expiring certifications | Certifications on profiles that expire within the window, soonest first. Default 30 days, up to 365. | Me, Team, Company | Digest |
Profile updates | Profiles that changed since the last digest, by what changed: work experience, skills, training, education, presentation and languages. The first digest covers the last 24 hours, and the card details up to 8 consultants. | Team, Company | Digest |
Inactive profiles | Employee profiles not updated within a number of days, stalest first. Default 90 days, up to 365. | Me, Team, Company | Digest |
Sales and customers
Sales alerts keep new accounts and quiet contacts on the radar and follow your project pipeline.
Alert | What it tells you | Scope | Delivery |
Project pipeline | Projects by state, pipeline, stage, tag, probability or value. A digest of a date window, or a live ping when a project is created or changes state. See the settings below. | Me, Team, Customers, Company | Digest or live |
New contacts | Customer contacts created in the last days, newest first. Default 14 days, up to 365. This is about people at a customer, not new customer companies. | Customers, Company | Digest |
Untouched contacts | Customer contacts that nobody has been in touch with for a number of days. Contacts that were never touched come first. Default 90 days, up to 365. | Customers, Company | Digest |
New customers | New customer companies, as a digest of the last days (default 30, up to 365, optionally only customers without an account manager) or a live ping as each customer is added. | Company only | Digest or live |
Important: The Untouched contacts alert can only be set up in a channel or a thread. It cannot be set up in a direct message.
Project pipeline settings
Project pipeline is the most flexible alert. Describe what you want in plain words and the Chat Agent turns it into these settings:
Project state: Open, Won, Lost, Abandoned or Suspended. A digest defaults to Open projects.
Date window: for a digest, which date to look at (estimated close date, state change, last activity or creation) and how many days back and forward, up to 365 each way. For projects that have gone cold, use last activity with a window in the past. If you do not state a window, the Chat Agent proposes one and asks you to confirm it.
Filters: pipeline, stage, tags (any or all), minimum probability, minimum estimated value and minimum contract value. Values are compared in the project's own currency with no conversion.
Live triggers: a live alert fires when a project is created, when its state changes, or both. The default is a state change. A state change must be reported within 15 minutes of the change. An edit that changes nothing else about the state does not ping. To get a ping every time a deal is won, create a live alert for Won projects.
Card details: choose which fields show, such as stage, customer, sales managers, estimated value, probability and priority. A chosen field with no value shows "Not set".
Intro and closing text: on a live card you can add up to 500 characters at the top or bottom. Use
{customer}and{project}to insert names.Mentions: a live card can @-mention people in a field, such as the sales managers.
For rules that check your pipeline against your own criteria, such as stale deals or missing values, see Pipeline Assistant.
Product updates
One alert keeps you informed about the Chat Agent itself.
Alert | What it tells you | Scope | Delivery |
Release notes | A short "What's new" summary when a newer version of the Chat Agent for your chat platform is deployed. Technical-only changes are left out. The first run records the current version, so you do not receive the history. | Me, Company (any user) | Digest, checked hourly |
What if the alert I need is not listed?
If no alert type can express your request, the Chat Agent says so and offers the closest alternative. It does not set up an alert that would watch for the wrong thing. If a type watches the right event but cannot apply one of your filters, it tells you the alert will fire more broadly and asks whether to set it up anyway. To suggest a new alert type, contact Cinode Support.
